Purge Procedure (UT #2)
Below are instructions on how to purge your SNAK databases. Purge utility programs can be accessed through Utilities Menu option #2. A full backup of your SNAK system, while not required, is strongly recommended prior to this process. It is critical that all personnel be logged out of your SNAK system completely both during the backup and purge process. The process can be a lengthy, please ensure that you choose a time that will allow the process to complete before access to the SNAK system is required. DAO personnel may make recommendations when we consider a purge of your SNAK databases is required. However, the final decision is that of the owner and/or office manager. Under no circumstances will DAO personnel execute purge utilities on your system.
To purge the SNAK:
Make sure all users are out of the SNAK system and are at a Windows screen.
Backup the SNAK databases - if a backup has already been performed this step can be skipped.
Sign on to your SNAK system and go to Utilities #2 (System File Purges)
If a backup has been completed answer “Y” to “Backup should be done prior to running this procedure. Continue?” If a backup has not been performed answer “N” and run a backup of the SNAK databases.
Put “Y” in the Delete and Pack fields for each SNAK file that you would like to purge.
Put a date in the purge date field that is up to the date range that you would like to maintain. The date that you put in that field is at the owner’s and/or office manager’s discretion. (A support representative cannot make that recommendation.)
Here is an explanation of each of the SNAK files:
| Inventory Transactions |
This removes all inventory transactions up to the date chosen (ex. Loads, Receivers, Transfers) |
| Payment Posting |
This removes all payments made to your Accounts Receivable up to the date entered by the user. |
| Paid/Cash Sales |
This removes all paid invoices up to the date entered by the user. This purge should be completed at the same time and with the same date as the Paid/Cash Sales purge. |
| Customer Ticket Detail |
This removes the detail of your invoices up to the date entered by the user. This purge should be completed at the same time and with the same date as the Paid/Cash Sales purge. |
| Jobber Ticket Detail |
This removes the detail of your jobbers purchases up to the date entered by the user. |
| History Archive File |
This removes your history files up to the date specified by the user. (Note: The date does not appear until you have marked the Delete and Pack fields with a “Y”.) |
| Expense Transactions |
This removes all expense transactions up to the date entered by the user. |
| Special Promotions |
This removes all promotions with an end date prior to the date entered by the user. |
| Vending Machines |
Removes all vending machine transactions up to the date entered by the user. |
| Orphan Ticket Detail |
This removes ticket detail that does not have a header/total record in the Arpost file. |
| Master File |
This packs/removes any deleted records in the Item master, Customer Master or Truck Master files. |
Once you have chosen the SNAK fields that you would like to purge and you have reached the end of the screen the software will ask you, “Is this information correct?”. If you are sure that you are ready to purge answer “Y”. If you are not ready to purge answer “N” and it will not continue with the process.
